01Who we are and what these terms cover

SME AI Office ("we", "us", "our") is run by Alpha Digital Technologies Pte. Ltd., a company registered in Singapore (UEN 202348992K). In these terms, "we", "us" and "our" mean that company, and "you" means the business that opens an account and the people who use it on its behalf.

SME AI Office is an online back office for small businesses: accounting, GST, invoicing, payroll and HR, company compliance, apps for particular trades (such as F&B, Retail, Fitness Studio, Personal Coach, Learning Centre and Membership), the websites we run for businesses, and the tools those use, such as bookings, an online shop, point of sale, stock and customer records. It is built for Singapore businesses. In some other countries a smaller version is offered as a beta, with fewer features.

By creating an account or using SME AI Office, you agree to these terms and to our Privacy Policy. If you do not agree, please do not use SME AI Office.

02Your account and your team

You need a valid email address to open an account, and you must be at least 18. The information you give us must be true and kept up to date.

Before your account can send emails to customers, take payments, invite staff or publish a new website, you finish a few short safety steps, such as confirming your email and giving your name and a WhatsApp number. These protect you, your customers and other businesses from misuse.

You are responsible for:

  • keeping your password and sign-in codes safe and private;
  • everything done under your account, including by co-owners and staff you invite, and what you allow each of them to see and do;
  • telling us at once if you think someone has got into your account without permission.

03Plans and payment

Free plan. Has no monthly fee and needs no card. It includes the features and limits shown on our pricing page. We may change what the Free plan includes, and we will give you notice before a change takes anything away.

No fee on your sales. On every plan, we take no fee on the payments your customers make to you, whether by your own PayNow QR, cash, bank transfer, or card or PayNow through your own HitPay account. A payment company you connect, such as HitPay, charges you its own fee directly.

Pro 365. A paid plan, monthly or yearly, at the price shown on our pricing page in Singapore dollars. It renews automatically at the end of each period until you cancel. You can cancel at any time from your account, and the plan then runs until the end of the period you have paid for. We do not refund part-periods, unless the law requires it or we agree otherwise. You can pay by card (taken by Stripe) or by PayNow where we offer it.

Custom. Work we set up and run for you is covered by the proposal or agreement you accept with us. Where that differs from these terms, it takes priority.

Free setup. While we offer it, we will move your business over for you from the links and files you send. It is free, is offered for a limited time, and may end at any time. Pro 365 accounts go first. We work from what you send, so please check the result and tell us if anything is wrong.

Outside Singapore. The beta is free, with no platform fee. If that ever changes, we will tell you before any fee starts, and it will never apply to payments you take yourself.

Price changes for Pro 365 apply from your next renewal, and we will tell you before they do. For any billing question, email [email protected].

04Getting paid by your customers

We are not a bank or a payment provider, and we never hold your money. Your customers pay you directly:

  • Your own details. Cash, bank transfer or your own PayNow QR. Free on every plan.
  • HitPay. If you connect your own HitPay account, card and PayNow payments go straight into it, under HitPay’s own terms and fees, which HitPay charges you directly. We charge no fee on these or any other payments, on any plan.
  • Aspire. If you connect your own Aspire account, we can confirm PayNow payments for you (section 09).

Refunds, disputes and chargebacks are between you, your customer and your payment provider. You are responsible for any tax due on your sales.

Some links in SME AI Office, such as the links to open a HitPay or Aspire account, are partner or referral links, and we may earn a referral fee when you sign up through them. It costs you nothing and does not change their fees to you. You are free to open an account with them directly, or not at all. We never pass your details to a partner.

05Your website, your shop and your customers

When you sell, take bookings or run classes through SME AI Office, you are the seller, not us. You are responsible for:

  • your products, services, prices, stock, delivery, bookings, classes and refunds;
  • everything on your website and in your messages, including photos, words, allergy and safety information, and reviews you choose to show;
  • following the laws that apply to your business, including consumer protection, food safety, licensing and advertising rules;
  • your website’s own Terms and Privacy policy. We provide standard wording written from your business details as a starting point. It is not legal advice, and you can and should change it to suit your business.

You must have the right to everything you put on your website, such as photos, logos and text. We may show “Powered by smeaio.com” on the websites of accounts on the Free plan. We may remove content, or take a website offline, if it is unlawful, misleading, or puts customers at risk, and we will tell you why.

Only send promotional messages to customers who have agreed to receive them. Promotional emails we send for you carry an unsubscribe link, and we honour it.

06Personal data you keep in SME AI Office

For the details of your customers, members, students, their parents and your staff, you are the organisation responsible under Singapore’s Personal Data Protection Act 2012 (PDPA), and we act as your data intermediary. You are responsible for collecting that data lawfully, with consent where it is needed, and for answering those people’s requests about it. We process it only to provide the service to you, protect it as described in our Privacy Policy, and never use it for our own marketing or sell it.

07Acceptable use

Use SME AI Office only for lawful purposes. You must not:

  • keep false, fraudulent or misleading records, or use the service to help money laundering or tax evasion;
  • sell illegal, counterfeit or dangerous goods or services;
  • send spam, or message people who have not agreed to hear from you;
  • pretend to be another business or person;
  • try to get into another account, test our security without our written permission, copy, scrape or reverse-engineer the platform, or disrupt it;
  • share your sign-in with anyone else, instead of inviting them as a team member.

You agree to cover SME AI Office and its operators for claims, losses, fines and penalties caused by your breaking these rules or the law.

08AI features

Some features use AI: receipt scanning, the assistant, and the chat on your website. They are part of our paid plans, in Singapore only. On the Free plan, and outside Singapore, they are switched off and nothing in your account is sent to an AI. We may also use AI to help with free setup when you ask for it. Section 04 of our Privacy Policy lists exactly what each feature sends.

AI can make mistakes. You are responsible for checking what it gives you, such as a scanned receipt’s amount or date, or the assistant’s figures, before you rely on it for decisions, tax or filings. Its answers are not accounting, tax or legal advice. The chat on your website answers your visitors from the information you give it, and may sometimes be wrong. You are responsible for that information and for promises made to your customers in your name.

We are not liable for losses caused by AI output that you did not check.

SME AI Office helps you keep your books and records. It is not a substitute for a qualified accountant or tax adviser. For IRAS filings, GST registration or audited accounts, please get professional advice.

09Connected accounts

The service can connect to an account you hold with another company, currently Google Calendar, Aspire, HitPay and Claude. Connecting one is optional, and you may disconnect it at any time from within your account.

When you connect an account, you authorise us to access it only to the extent needed for the feature you connected it for, and only for as long as the connection remains in place. What we can see, what we store, and what we do not receive at all is set out in our Privacy Policy. We do not use information from a connected account for any other purpose.

Connecting an Aspire account means giving us a client ID and an API key that you create in Aspire. You must create the key with permission to read transactions only. We use it only to read your recent incoming payments, so that an order or booking can be marked as paid when a matching payment arrives. We never use it to make a payment, move money or change anything in your Aspire account, and the service contains no means of doing so. If you give us a key with wider permissions than this, we will still use it only to read. You can revoke the key in Aspire at any time, which ends our access immediately, or disconnect it from within your account, which deletes it from our systems.

When a payment matches, the order or booking is confirmed on your behalf in the same way as if you had confirmed it yourself: your customer is sent a confirmation, and the payment is recorded in your accounts and on an invoice where you have switched those on. A payment is matched only when both its reference and its amount agree exactly; a payment that does not match is left for you to confirm yourself. You remain responsible for your orders, bookings and records, and you may cancel or refund anything confirmed in this way from within your account.

You may also connect SME AI Office to your own Claude account, so that Claude can read your records. The connection can read only the parts of SME AI Office your own access to that company includes. If you turn on “Let Claude suggest entries”, which is a beta and off unless you choose it, Claude can also send suggestions (a new expense, income, asset, contact or draft invoice) that are added to your records only when you or your team approve them. Claude cannot change or delete existing records. You are responsible for checking each suggestion before you approve it. When you allow it, you are directing us to send those records to Claude under your own Claude account, and your use of Claude is governed by your agreement with Anthropic. Claude’s answers are produced by Claude, not by us, may be wrong, and are not advice.

You are responsible for having the right to connect an account and to share the information in it, including any personal data about your customers, staff or others, and under your own agreement with the company that provides it.

We are not responsible for the availability, accuracy or behaviour of another company’s service, or for changes it makes to its own terms, permissions or data. Information read from a connected account may be out of date by the time it reaches SME AI Office. You remain responsible for the availability you publish and the bookings you accept.

10Your data and our platform

You own your data: your records, documents, photos, website content and customer details. You give us permission to store and process it only to provide SME AI Office to you, as described in our Privacy Policy. We never sell it, and never use it to train AI models. You can export your records, and you can delete your account and its data yourself at any time.

We own SME AI Office itself: the software, designs, templates, report layouts and everything else we make. You may use it for your own business while your account is open. Using it does not give you ownership of any part of it.

11Availability and changes

We aim to keep SME AI Office available at all times, but we do not guarantee uninterrupted access. We may carry out maintenance, updates or changes at any time, and we will give reasonable notice of significant changes where we can.

We may change, suspend or stop any part of the service. If we stop a feature you pay for, we will tell you in advance and give you a fair way to keep your data.

12Limitation of liability

To the maximum extent permitted by Singapore law, SME AI Office and its operators are not liable for any indirect, incidental, special, or consequential damages arising from your use of the service, including but not limited to loss of revenue, loss of data, or financial penalties from tax authorities.

For loss or corruption of your data, our liability is limited to taking reasonable steps to recover that data from our available backups. We back up the platform once a day, at around midnight Singapore time, and retain the last 7 nightly backups. In the event of a platform-wide data loss, we will take reasonable steps to restore from the most recent available backup, which means up to 24 hours of recent activity may not be recoverable.

Backups cover the entire platform, not individual accounts. We cannot restore a single account in isolation, so we are not able to reverse records that you delete, overwrite, or edit yourself. Restoring the platform to an earlier point would roll back every other customer’s recent work as well. Keeping your own copies of records that matter to you remains your responsibility.

Our total liability to you for any claim arising out of these terms shall not exceed the amount you paid us in the three months preceding the claim.

Nothing in these terms limits or excludes our liability where the law does not permit it to be limited or excluded, for example liability arising from our own fraud, wilful misconduct, or gross negligence, or for death or personal injury caused by our negligence.

13Ending your account

You can stop using SME AI Office and delete your account at any time from Settings → Delete Account. Please export anything you need to keep first, because deleted data cannot be recovered.

We may suspend or close an account that breaks these terms, does not pay fees due after reasonable notice, or puts customers, other businesses or SME AI Office at legal risk. We will give reasonable notice first where we can, except for serious or repeated breaches. When an account closes, access ends and its data is handled as our Privacy Policy describes.

14Changes to these terms

We may update these terms from time to time. When we do, we change the date at the top of this page, and we email you if the change is important. Continuing to use SME AI Office after a change takes effect means you accept the updated terms.

15Governing law

These terms are governed by the laws of Singapore. Any dispute arising from them is subject to the exclusive jurisdiction of the courts of Singapore.
