Nobody keeps a formula. Whether somebody is current, due or lapsed is worked out from what they have paid, so the outstanding list is right the moment a payment goes in.

The receipt is numbered in sequence. Same format every time, with no gaps and no repeats, even when two of the committee record payments at once. The treasurer stops rebuilding receipts in Word.5

And it is written down. Every member has a history of who did what, and when. The question that comes up after an AGM is a two-minute check, not an argument.

Frequently asked.

How much does it cost?

Membership is part of Pro 365, which is everything in SME AI Office for B$9.90 a month. There is no extra charge for it and no per-member fee, so an association of 80 and one of 2,000 pay the same. You can also start on the Free plan: B$0, no card, up to 15 sales a month.

Who is it for?

Associations, societies, clubs, chambers of commerce, professional bodies, clan associations and alumni groups: anyone who collects a membership fee. Most have somewhere between 60 and 2,000 members, big enough that the spreadsheet hurts.

How do members pay?

The way they already do: bank transfer, cheque or cash. The reminder email carries your bank details. When the money arrives, the treasurer records it against the member and a numbered receipt is issued. The money goes straight from their bank to yours, so nothing is taken out of it.

Can you move our existing spreadsheet over?

There is no import button yet. Message us on WhatsApp with what you have, even if it is several files that disagree, and we will work out the easiest way to bring it over. You can also add members yourself, one at a time.

What if our committee changes next year?

Nothing happens to your data. Logins are per person, so the new committee is added and the old one removed in a minute, each with read or edit access. Every change stays attributed to whoever made it.

How does it show up in our accounting?

Every payment you record becomes a line of membership income in your P&L, dated the day the money came in, so it agrees with your bank statement. If a payment was keyed in wrongly, Undo takes it and its P&L line back out. You can switch this off in Settings.

Is our members’ data safe?

An association holds more personal data than most small companies, and PDPA applies to all of it. Member details are encrypted in the database itself, each organisation’s register is kept apart from every other, and you can export everything whenever you like. It is never sold and never used to train anything.

What happens if we leave?

Export the register, the subscriptions and the payments as spreadsheets you can open. There is no exit fee. Your membership register was never ours.

  1. Every organisation, person and figure shown in the screens on this page is invented and illustrative.
  2. Members pay your organisation directly, by bank transfer, cheque or cash, and a committee member records each payment against the member. Nothing is deducted from what you are paid because no payment processor sits in the middle. Each recorded payment is added to your P&L as membership income, dated the day it was received, unless you switch that off in Settings.
  3. Your register sits in a managed Postgres database on Supabase, running on Amazon Web Services, with member details encrypted at rest and each organisation’s records kept apart. Under PDPA your organisation is the one holding the data and we process it on your behalf, which means you decide who on the committee has access and what you collect. A data processing agreement is available on request.
  4. Member and receipt numbers are issued one at a time by the database, so two people recording at the same moment never get the same number. Undoing a payment keyed in wrongly leaves a gap in the receipt numbers, and the screen says so before you confirm.
