Classes and event days

A class runs on a fixed timetable with several people in the room. An event day is a fair, a roadshow or a pop-up at one place for a day or a few days. Both sit on the same booking page as your services.

Set up a class

  1. Go to Classes and press Add a class.

  2. Fill in What is it called, Which days does it run?, Starts at, How long (minutes), How many slots, Where it is held and Price per slot. Set a First week, and a Last week if it ends.

  3. Tick Show on my booking page. From that moment the hour is taken out of your diary every week it runs, so nobody can book a one-to-one on top of it.

  4. Customers pick the class, how many places, and then which session.

    Customers pick a session. A full one is shown but cannot be picked.

Once someone has booked, the timetable is fixed. You can still change the name, the price and the number of slots. To move a class, message everyone and start a new one.

Take the register

  1. On your class, press Timetable & register. After the session, mark each person Present or Absent, or press Everyone was here. Absent goes on their customer record.

    Tick people off after the class.
  2. To cancel one week, press Call this week off. Everyone booked is emailed, and anyone who paid goes on your refunds list.

Set up an event day

  1. Go to Event days and press Add an event day.

  2. Fill in the name, Where it is, the First day and Last day, Doors open and Doors close, the Appointment length, Rest in between and the Price (S$). Tick I stop in the middle if you take a lunch break.

    One day, one place, its own length and price.
  3. Customers may start every fills in by itself as length plus rest. Lower it to let people pick finer times; each booking still keeps its full rest either side.

  4. Leave Close my normal bookings during these hours on if you cannot take other appointments while you are at the event. Then tick Show it on my booking page.

  5. Press Codes & clashes on the event to see anyone already booked in those hours, and the discount codes on it.

Questions

Does a class get cancelled if too few people book?

No. Set a Minimum to run (optional) and a session below it is flagged for you. It is never cancelled by itself, because that would email your customers without you knowing.

Can customers pick a place at an event day?

No. The place is fixed for the whole event, so that question is skipped for them.

Does a busy slot in my Google Calendar close a class or an event?

An event day, never. A class, only if you switch that on under Google Calendar. Your ordinary appointment times always close.
