Set your stages
In the sidebar, go to Pipeline, then the Stages tab. You start with seven: Lead, Contacted, Proposal, Onboarding, Active, Inactive and Lost.
-
Press Add Stage for a new one. Use the pencil to rename a stage and the coloured dot to change its colour.
Your stages, in the order customers move through them. Drag a stage by its handle to reorder, then press Save Order.
A stage can only be deleted once nobody is in it. Move those customers to another stage first.
Move customers on the board
-
The Dashboard tab shows your totals, then the board. Each card shows the customer, their tags, any follow-up due and any amount they still owe.
The pipeline board, one column per stage. Drag a card into another column to move that customer to a new stage. Someone you add by hand starts in your first stage. Someone filed for you by a receipt, a booking or an invoice starts in Unassigned.
On a contact’s own page, you can also press the stage under their name and pick another.
The search box above the board finds a customer by name. Show more metrics adds average billed per customer, balance due, how many you contacted in the last 30 days, and your tags.
Follow-up reminders
When you log a call or meeting with a Follow-up date (how), it appears under Follow-up Reminders on the Dashboard, marked as today or overdue when it is.
-
Each reminder has three small buttons. Mark it done. Snooze it to Tomorrow, In 3 days, Next week or In 2 weeks. Or log what happened and clear the reminder in one step.
Follow-ups due today and overdue, with the snooze choices open. On All Clients, the ⏰ Follow-ups due button shows only the people with a follow-up waiting.
Birthdays
-
Give a contact a Date of Birth and they appear under Upcoming Birthdays on the Dashboard in the 30 days before it.
Birthdays in the next 30 days. Select a name to open their page, where the WhatsApp button is one tap away.
Questions
Is the board part of every plan?
No. The board, stages, the interaction log, follow-ups and birthdays are part of CRM. Without it, these screens show a lock. Your contact list stays free.
Can a team member use the board?
Yes, if you give them CRM access in Settings, Team. With view-only access they can see the board but not move anyone.
Do suppliers show on the board?
The board shows every contact by stage, so a supplier filed from a receipt sits in Unassigned unless you move it. Use the Customers pill on All Clients when you want customers only.
