Set up your studio

Three things go in once: the rooms you teach in, the people who teach, and your week of classes. After that the timetable repeats every week by itself.

Your page link and PayNow

  1. Go to Settings. Under Your studio page, fill in the Link name (smeaio.com/s/yourname) and the Business name customers see.

  2. Add your PayNow details (UEN, mobile number or VPA, and the name on the account) so customers can pay for packs and passes online. Until then, sell them at the desk.

  3. Tick Page is live once your first class is on the timetable, and press Save page details.

These are the same details as your Bookings page. Change them here or in Bookings and both are updated.

Add your rooms

  1. In the sidebar, press Rooms.

  2. Press Add a room and give it a Name, such as Studio A, and an address if you like. Add one for each room you teach in.

  3. If you teach online, press Add an online room under Online classes and fill in How they join (your Zoom or Meet link). That gives you an online room to put classes in.

Your rooms are the same as the places on your Bookings page. Change them here or in Bookings and both are updated.

Why can't I switch a room off or remove it?

A class on the timetable is still held there. Move the class to another room on the Timetable first. A room that already has bookings is switched off rather than removed, so past bookings still say where they were.

Add your instructors

  1. Go to Instructors and press Add an instructor. Fill in Name, and About them (optional) if you want a short bio. It is shown on the timetable.

  2. When somebody leaves, edit them and switch them off. Their name stays on past classes.

Classes work without an instructor. Naming one is what lets them take their own register.

Give an instructor a login

  1. Invite them as a team member from Settings, Team, and tick Studio (instructor).

  2. Back on Instructors, edit the instructor and pick that person under Their login.

  3. When they sign in, they see only the classes they are named on, on the Today page, and they can mark those registers. Calling a session off stays with you.

Put a class on the timetable

  1. Go to Timetable and press Add a class.

  2. Fill in What is it called, a Description, Which days does it run?, Starts at, How long (minutes) and How many slots. Pick Which room and the Instructor.

  3. Leave Take payment for this class on and set the Price per slot: what one person pays for one class without a pack. Switch it off and the class is free to book.

  4. Set Minimum to run (optional) if you want a warning. A class below it is flagged for you. It is never cancelled for you.

  5. Set the First week, and a Last week (optional) if it ends. Tick Run on public holidays if you teach on them.

  6. Tick Show on my booking page and press Save. Until that is on, nobody can book it and it does not count as using the room.

Clashes

Two classes can run at the same time in different rooms. Fitness Studio refuses:

An online room never clashes on room, because a video call is not a place. Its instructor still cannot be teaching somewhere else at that hour.

Questions

Can I change the instructor after people have booked?

Yes, any time. Nobody’s booking changes.

Does a class stop one-to-one bookings in that room?

Yes. From the moment it is on your booking page, its hour is taken out of your Bookings diary every week it runs.

How do I see last month’s classes?

Tick Show finished classes on the Timetable.
