Shifts, returns and reports

A shift runs from the float going into the drawer to the cash being counted at the end. Sales lists every sale, where you void one or take items back. Reports show what you took and what you made.

Open a shift

  1. At the start of the day, press Open shift on the till, or go to Shifts and press Open a shift.

  2. Count the notes and coins in the drawer and type the float. It is counted back at the end.

If you took cash out during the day, such as to the bank, or put more change in, press Cash in/out on the open shift and say what it was for. It shows on the shift report so whoever counts the drawer knows why it moved.

Shifts are optional. Tick A till must have a shift open before it can sell in Settings to make them a rule. Without shifts, a till sells straight away but there is no cash count to check the drawer against.

Close the shift and count the cash

  1. At closing, press Close on the open shift.

  2. Count every note and coin in the drawer, float included, and type it in Cash counted in the drawer. It tells you straight away if the drawer is exactly right, short or over. Add a Note if you know why.

    The drawer is S$2.00 short, and the note says why.
  3. Press Close the shift. The summary shows sales, returns, takings by payment method, cash in and out, and how the expected cash was worked out.

Closed shifts are listed under Closed shifts with who opened and closed them and the difference. Select one to see its summary again.

Void a sale or take items back

Go to Sales. Pick a date range and filter by till, sales or returns, or search by number or customer. Select a sale to see it, open its receipt, email it, void it or take items back.

Void, for a mistake today

Press Void, say why, and press Void the sale. It comes out of today’s takings and the stock goes back. You can void a sale only on the day it was made, while its shift is still open, and only if nothing from it has been returned.

Return, for anything else

  1. Press Return items and choose how many of each item came back. The refund is priced exactly as it was sold, discounts included.

  2. Choose Give the money back by, answer Put it back into stock?, and say why it came back.

  3. Press Record the return. It gets its own number and refund receipt.

Damaged goods: answer No to putting it back into stock. It stays out of stock and its cost stays in your cost of sales, because that is what it cost you.

Reports

Go to Reports and pick a range, and a location if you like. Voided sales are left out and returns come off.

Questions

Where does the cost of stock sold come from?

From what the stock cost you when it left, at its average cost. A typed line at the till has no cost.

The drawer is short. What now?

Nothing more to do in SME AI Office. The difference is recorded on the shift for you to look into. It is not posted to your books.

Can I void yesterday’s sale?

No. Take the items back with a return instead, so yesterday’s takings stay as they were counted.
