Take and confirm orders
A customer pays by PayNow and taps that they have paid. You check your bank and confirm. From there you move the order along: ready, then fulfilled. The customer watches each step on their own order page.

What the customer does
They add products to the cart, choose Pickup or Delivery, and go to checkout.
-
At checkout they give their name, pick a time slot or a delivery address, and type their email and mobile. They press Generate PayNow QR, scan it with their banking app and pay. The amount is fixed in the QR.
The customer scans, pays S$125.00, then taps I’ve Paid. They tap I’ve Paid. Their order page now shows Payment Sent, and it says you are checking.
Until they tap it, the order waits in Drafts, not in your orders. A walk-up paying cash at your stall goes straight to your queue.
Confirm the payment
Check your bank app for the amount and the reference.
-
Go to Orders and open the order. It shows a Mark as Paid button. Press it. For a walk-up cash order the button is Confirm Cash.
Open an order to see everything in it. Mark as Paid once the money is in your bank. Confirming takes the items off your stock, puts the sale in your P&L, makes the receipt (unless you switched that off), and emails the customer that their order is confirmed.
With Telegram connected, the alert that a customer has paid carries a button to confirm straight from the chat. With PayNow Auto-Confirm set up, a matching payment confirms itself.
A customer says they paid, but the order is not in your list? Look in Drafts. They may not have tapped I’ve Paid. Find the order by number or name, check your bank, and press Mark as Paid. It then waits in your orders for you to confirm.
Move the order along
Each order has one next step. Press it when it is true:
Mark Ready when it is packed. The customer is emailed that it is ready.
Mark Fulfilled when it has been collected or delivered.
The tabs on the Orders page filter by step: All, Cust Paid, Processing, Ready, Fulfilled, Cancelled. The Dashboard has a calendar of collection and delivery dates.
To cancel, press Cancel and add a reason if you like. If the customer had already paid, the order goes to your refunds. See Refunds and reviews.
Message the customer
- WhatsApp opens a chat with them, with a message already written for the order’s step. You change these messages on the Messages tab in Settings.
- Email opens your own email app with the same message.
- Make the invoice (or receipt, once paid) makes the document. Email the receipt sends it. Nothing is emailed on its own: the confirmation email already carries a link to it.
- Make it a quotation turns an unpaid order’s document into a quotation.
Walk-up orders and the display board
Orders from your stall link are walk-ups. They also appear in Queue, oldest first, so you can work through them at a market. Press the button on each row to move it along.
On a tablet facing customers, open Display Board. It shows two columns, In Progress and Ready for Collection, and updates by itself.
Sell at the counter
Go to POS. Tap products to add them to the cart. A product with sizes or add-ons opens a sheet to pick them.
Under Customer, search or type a name if you want the sale filed to them. You can also type a Discount code (optional) or an amount in Off at the counter (S$).
-
Pick PayNow or Cash and press Charge. For PayNow, show the QR, check your bank, then press Mark as Paid. For cash, collect it and press Done.
A counter sale of S$106.00, paid by PayNow.
A counter sale is confirmed as soon as you mark it paid or press Done, so its stock and P&L are updated at once.
Questions
When does the sale go into my P&L?
When you confirm the payment, not when the order is placed. All of one day’s sales go in as one line called Online Shop Sales. You can switch this off on the Orders tab in Settings.
What emails does the customer get?
If they gave an email: one when they place the order, one when you confirm the payment, one when it is ready, and one if you cancel it. You can reword them on the Messages tab in Settings.
Can I download my orders?
Yes. On the Orders page press Export Orders, pick a status and dates, and press Download CSV. There is one row for each item.
