Workshop 365
Open the job on the number plate, photograph what you found, and send the price to the customer’s phone. They approve it with a time against it, and the invoice is one tap away.
For car servicing, repair, tyre, aircon and bodywork shops. Part of Pro 365, from S$39 a month.1
The photos go on from a phone in the bay. The quote goes out from the front counter.6
One job card: the car, the photos, the quote and the customer’s answer.2
The booking, the photos, the quote, the approval, the parts, the invoice and the reminder months later all sit on the same record, so nobody has to remember what was said.
Somebody picks a slot from your booking link at eleven at night, or you press Book a car in at the counter. The job opens on the plate, with every earlier visit under it.
Worn pad, split boot, the reading on the clock. Straight from his phone onto the job card, shrunk so it uploads quickly over the workshop wifi.
Parts and labour, GST on top if you are registered. Send the link and they approve it on their phone, ask a question, or say not this time.3
Make the invoice from the approved quote. Close the job and the car’s next service is set, so it turns up on your chase list before it is due.
No photo, no closing the job. Unless you switch it off, a job cannot move to Completed until there is at least one photo on it. That photo is what you show a customer who says the work was never done.
The price they agreed to is on record. The job card shows which quote was approved, when, and anything they wrote. A quote that has gone out cannot be edited, only replaced.
You see what the job left you. Parts come off the shelf at what your supplier charged, so every job card shows what it brought in and what is left after parts.4
How we compare
Most workshops run on a whiteboard, an invoice book and a WhatsApp chat full of photos. The ones that move to workshop software get a good job card. What that software does not know is the rest of the business.
Price
Workshop 365 comes with Pro 365, alongside every other SME AI Office module: invoicing, accounting, payroll with CPF, contacts and the rest. No fee per job, per car or per mechanic. We set every business up ourselves.
Today shows what is waiting on somebody: new enquiries, quotes nobody has answered, and cars ready to collect.
The three lists that need you, on one page.
Every finished job, what it brought in and what its parts cost.4
Features
Ask for something and it gets built. Every account has a Feedback button that raises a real ticket, read by the person who writes the code. If it would help more than one Singapore business it goes into the module and lands in every account, usually by the next working day.
Need it to work with a tool you already use? Ask the same way. We check that it can be done and tell you straight. You subscribe, we build the connection, and you try it on your own account. If we cannot make it work, you get your money back.
Before you sign up, [email protected] reaches the same place.
From an SME AI Office customer
“An entry point for a small start-up, without being overwhelming.”
“Looking for an easy way to manage my small business, I came across SME AI Office. This solution has an entry point for a small start-up, not overwhelming, while having more sophisticated features for future scaled-up operations. Had a chance to speak to the founder Kevin and was greatly encouraged that he listens to his clients, big or small, and is always open to see how he can improve the client experience. SME AI Office not only provides a solution, but provides the relationship management as if you are a big corporate. Very glad to chance upon this software.”

Questions
Workshop 365 is part of Pro 365, which is every SME AI Office module for S$39 a month, or S$365 a year paid yearly. There is no extra charge for it, and no fee per job, per car or per mechanic. There is a 14-day trial of the whole system: you can look around straight away, we check you are a real business, usually the same working day, and your 14 days start from there.
Workshop 365 is the self-serve module on this page, part of Pro 365, about S$1 a day for everything. Workshop Custom is built around one workshop, with its own website design and domain, several locations and anything else that business needs, and it is priced for that business. See Workshop Custom.
Car servicing and repair shops, and specialists: tyres and rims, aircon, bodywork and spray, audio and accessories. Anywhere a customer hands over a car, waits, and then asks why it costs what it costs. One bay or several, one mechanic or a team.
They do not need one. The job card is a page they open in their phone’s browser with their own login. What a mechanic does is take a photograph, which he already does, and tap the step the car has reached. The pricing, the quote and the invoice are done by whoever runs the front.
Press Send it on the quote and a link is copied for you to paste to them on WhatsApp. They open it on their phone and see the parts, the labour, the GST and the total, then press Approve, Ask a question, or Not this time. Their answer, and anything they wrote, appears on the job card with the time. Nothing is charged at that point; they pay when they collect.
It writes the messages for you, in your own wording, with their name, the plate and the link already filled in. The quote-ready and car-ready messages wait in To send, and cars due for a service wait in Due back. You tap one and WhatsApp opens with the words already in, so a customer never gets a message you did not mean to send. Each one is logged so nobody chases twice.
Yes. A part comes in on a supplier bill at what you actually paid, goes onto a job, and comes off the shelf count as it does. Every change to the count is recorded with a reason, and you are told when a part is running low. That is also what makes each job’s figure honest: it is priced at this month’s cost, not last year’s list.
That depends on the seat you give them. A view-only seat on Workshop sees the board, the job cards and the photos, and never parts costs, supplier bills or what jobs made. A seat that can also add photos and move jobs sees the costs too, so give that one to the people you would show them to.
Make the invoice from the approved quote and it is an ordinary SME AI Office invoice, filed against the customer, with the plate and job number on it. When you mark it paid it goes into your P&L, and its GST into your GST return. Supplier bills you record here are for costing parts and jobs; the parts spend reaches your accounting the way every other expense does, by scanning the receipt.
No. Your booking page, their booking and the quote they approve are web pages, opened in their phone browser from a link. There is nothing to install and no password to remember.
Photograph it, price it, and let the customer say yes on their phone before the work starts. Email us and we set you up ourselves.
