Take and manage bookings

Customers book a time you are free and pay you by PayNow. You confirm the payment, and they get their confirmation email. You can also add bookings yourself, move them, and chase the ones that never paid.

What the customer does

  1. They open your link and answer one question at a time: What would you like to book?, then Pick a day and a time. The calendar only shows days and times you are really free. If you work at more than one place, they can stay on Anywhere (I am flexible) and choose where after picking a time.

    Only times you are free are offered.
  2. Under Your details they give their name, email and mobile, and a discount code if they have one. The button shows the price, for example Book and pay S$80.00.

  3. They scan the PayNow QR. The amount and the reference are already in it and cannot be changed. Then they tap I have paid. The slot is held for them while they pay.

    The PayNow QR carries the exact amount and reference.

Confirm the payment

  1. Check your banking app. Then go to Appointments. Anything waiting on you is under Waiting on you, marked Says they paid.

  2. Open the appointment and press Confirm payment. That emails the customer their confirmation, puts the money in your P&L and makes the invoice, if you have those switched on.

    Confirm once you have seen the money in your bank.

Faster from your phone. If Telegram is connected, the message that someone says they have paid has a Payment received button. Tapping it does the whole confirmation. See messages and alerts.

Add a booking yourself

For someone who phoned, messaged or walked in.

  1. On Appointments, press Add a booking. Start typing in Customer to pick someone you already have, or type a new name, mobile and email.

  2. Choose What, and the place and length if asked. Then pick how to say when. Pick from what is free shows only free times on the day you choose. Type the date and time yourself lets you book any time at all.

  3. If a typed time runs into something, you are told exactly what, for example which appointment it clashes with. To go ahead, tick the box that starts I know. The button changes to Book it anyway.

  4. Check the Price. You can change it, or key in a discount code. Under Payment, choose Already sorted if they have paid (and say how), or Send them a payment link, which holds the slot for the time you pick while they pay by PayNow.

  5. Press Add booking. For a payment link you can then Email it, WhatsApp it or Just copy the link.

    Send the payment link the way they prefer.

Move, cancel or mark done

Customers can move or cancel for themselves too, after signing in with a code we email them, within the limits you set on Policies. You are never held to those limits.

The calendar shows the whole month. Click a day to see it in full.

Holds that ran out

If someone booked but no payment was confirmed in time, the slot went back on sale. The booking is kept under the Unpaid tab, in case they paid and forgot to tap the button.

  1. If the money is in your bank, press the button that starts They paid. If the time is still free, that is one tap. If someone else has booked it since, you are told who, and asked before it goes ahead.

    A hold that ran out, still one tap from confirmed.
  2. If they did not pay, press the button that starts They did not pay. It stays under All in case the money turns up later.

Questions

Does a customer paying mean it is confirmed?

No. Tapping I have paid only tells you they say they paid. It is confirmed when you check your bank and confirm it, or when PayNow Auto-Confirm matches the payment.

Can two people book the same time?

Not online. The time is taken the moment it is booked. Only you can book over another appointment, by typing the time yourself and ticking the box.

Can I export my appointments?

Yes. Press Export CSV on Appointments. You get the rows you are looking at.
