Help/Learning Centre/Today, make-ups and withdrawing
Today, make-ups and withdrawing
Today is where you and your teachers take the register. From there a missed lesson can be given back as a make-up, and a lesson can be called off. Students is where you book the make-up, and where a student is withdrawn.
Screenshots use a fictional business and figures.
Take the register
Open Today. Every lesson of the day is listed in time order, with its classroom, its teacher and the students in it. Use the arrows to see another day.
For each student, tap Present or Absent. Tap it again to undo.
Everybody came? Press Everyone is present to mark the rest in one go.
A student whose fee is not paid yet is listed with Not paid yet, and cannot be marked until the payment is confirmed on Students.
The register does not move money. Each lesson moves its share of the term fee into your income as it happens, whether or not the register was taken. The register is for knowing who came, and for make-ups.
What a teacher sees
A teacher with their own login (Pro 365; see Teachers) opens Today and sees only the lessons they are named on, with the students in each. They can take the register. They never see a fee, and they cannot open Students, Terms, the Timetable or Settings.
Make-up lessons
First, choose how many make-ups each student gets. In Settings, under Make-up lessons, type the number (“Up to 2 make-up lessons a term, for each student”) and press Save. 0 means no make-ups. A new number applies to students enrolled from then on.
On Today, mark the student Absent. The button Missed · give a make-up appears beside them.
Press it. The lesson is now owed back to the student. (Changed your mind? The same button now reads Make-up owed · take it back.)
Go to Students and open the student. It shows the lessons owed. Press Book a make-up lesson.
Pick Which class (the same class, or another one) and Which lesson, which shows the seats free in each. Press Book it.
Calling a lesson off
On Today, press Call this lesson off on the lesson, and confirm.
Type a short reason for the email if you like, such as “Teacher unwell”. Everybody in the lesson is emailed that it is cancelled.
Each enrolled student is owed that lesson back, whatever your make-up limit, and it does not count towards it. Book them a make-up on Students, as above. Called it off by mistake? Press Put it back on; the students who were told it was off are not booked back in, so tell them yourself.
Withdraw a student
Go to Students, open the student and press Withdraw.
Confirm. Their seat in every lesson still to come is given up, and the lessons not given are worked out and recorded as a refund in your accounting.
Send the money back to the parent yourself, by PayNow or bank transfer. Nothing moves money for you.
If the fee was never paid, withdrawing simply gives up the seats, and there is nothing to refund. The refund is its own line in your books; the original payment is never deleted.
Checking a student
Students shows each class for the term you pick: seats filled, what has been paid and how many are waiting. Each student shows their fee, whether it is paid, lessons given out of the term, lessons owed and lessons missed. Open one to see every lesson and what happened in it, the parent’s details, the payment reference and their payment page link.
Questions
Can a make-up go into a different class?
Yes. Under Which class, pick any class with a free seat, such as a weekday class of the same level.
What if the student has used all their make-ups?
A missed lesson is then simply missed. A lesson you call off yourself is still owed back, because that one is on you, not on them.
Can I see an attendance report?
Not as a report. Each student’s page on Students lists every lesson and whether they came, and Today shows each lesson’s register. Need more? Press Feedback in the back office, or WhatsApp us on +65 9613 7676.
