Set up your centre
Say where your classes happen, who teaches them, when each class runs and what a term costs. Then fill in your PayNow details so parents can pay the fee. Do it in this order, because each step uses the one before.

Classrooms
Go to Classrooms and press Add a classroom. Give it a Name, such as “Room 1”, and an Address (optional). Press Save.
Teach online too? Press Add an online classroom and fill in How they join, such as your Zoom link.
No classroom can hold two classes at the same time. An online classroom never clashes. Your classrooms are shared with your booking page, where they are called places, so a change in one shows in the other.
Teachers
Go to Teachers and press Add a teacher. Type their Name and, if you like, About them (optional). Press Save.
A teacher can be just a name on the timetable. To let them take the register on their own phone, give them a login (see below).
Giving a teacher a login (Pro 365). Invite them from Settings › Team in the back office and tick Learning Centre (teacher). Then open the teacher here and pick them under Their login. They see only the lessons they are named on, and never a fee.
The timetable
Go to Timetable and press Add a class.
Fill in What is it called (such as “P5 Maths”; parents see this on the fee email) and a Description.
Under Which days does it run?, pick the day. Then Starts at, How long (minutes) and How many seats.
Pick Which classroom and the Teacher. You can change the teacher any time, even mid-term.
Set the First lesson. Leave Last lesson (optional) empty to keep the class running term after term.
Tick Open for enrolment when you are ready to enrol students, and press Save.
Two classes can run at the same time in different classrooms, but never in the same one, and a teacher can only be in one place at a time. If a class would clash, pressing Save tells you what it clashes with, and nothing is saved.
Until Open for enrolment is on, nobody can be enrolled in the class and it does not use the classroom. On the timetable it has a dashed edge. Once it is open, it also shows on your booking page, where a parent can book one trial lesson at the lesson price.
What a term costs
In the same Add a class window:
- Price per lesson: the price of one lesson. It is also what a trial lesson costs on your booking page.
- Under What a term costs, pick Per lesson (the price per lesson times the lessons in that term) or One fee for the term, and type the fee.
- Untick Charge for this class for a free class: students still take a seat, and nobody pays.
Per lesson suits selling by the month: a Saturday class at S$45 a lesson is S$225 in a month with five Saturdays and S$180 in a month with four. One fee for the term suits a fixed term price, such as S$360 a term.
Also in the window: Minimum to run (optional) flags a lesson with fewer students than that, but never cancels it for you. Run on public holidays is off unless you tick it.
Your centre and PayNow
Go to Settings. Under Your centre, type the Centre name parents see, and a Link name. The page where parents pay the fee lives under smeaio.com/s/ plus that name.
Under PayNow, so parents can pay the fee, choose UEN, Mobile number or PayNow VPA, type it, and type the name on the account.
Tick Booking page is live if you want your open classes on your booking page for trial lessons. Press Save centre details.
On the same page, set Joining mid-term and Make-up lessons, and press Save. Both are explained in Terms and enrolling and Make-ups.
Until your PayNow details are filled in, mark each enrolment as paid in cash. These details are shared with your booking page, so a change here shows there too.
Questions
Can one class run on two days a week?
Yes. Pick both days under Which days does it run?. A student enrolled for the term gets a seat in every lesson on both days.
A teacher is off sick. Can someone else take the class?
Yes. Open the class on the Timetable and change the Teacher. A relief teacher is fine, even mid-term. To cancel the lesson instead, see Calling a lesson off.
Why can I not change the day or time of a class?
Once students have seats in lessons to come, the days, the time, the length and the classroom are fixed, so nobody is moved without knowing. You can still change the name, the teacher, the fees and the number of seats. A new fee applies to students enrolled from then on.
What happens if I remove a class that has students?
It is switched off rather than deleted, because it has students on record. Their lessons and payments stay as they were.
