Session packs
A pack is a number of sessions to use within a number of days, such as “10 PT sessions, use within 90 days”. Clients buy it on your booking page or from you, then book their sessions from it one at a time.
Screenshots use a fictional business and figures.
Make a pack
Go to Packages and press New pack.
Fill in the Name, the Price (S$), how many Sessions, and Use within (days).
Under Pays for, tick the services it can be used for. Tick none and it pays for any of your services. One session of the pack is one appointment, however long, for however many people.
Add a Description if you like, and press Save. It appears on your booking page under See packages.
To change a pack later, press Edit. Changing a pack never changes the ones already sold. Untick On sale, or press Take off sale, to stop selling it; anybody who bought it keeps it.
When a client buys online
On your booking page they press See packages, pick one, press Buy and pay by PayNow with the reference shown. Then they tap to say they have paid.
A note at the top of Packages (and of My day) tells you a pack payment is waiting. Under Sold the purchase says they have paid, with its reference.
Find the reference in your bank. When the money is there, press Money received. If they paid you in cash instead, press Paid in cash. The pack starts, and they get an email saying it is ready. With PayNow Auto-Confirm on, you skip this: the pack switches on by itself once the payment with the exact reference and amount reaches your bank.
Sell one in person
Go to Clients and open the client. Press Sell a pack.
Pick the Pack, check Their email (they sign in with this to book with the pack), and under How did they pay? pick PayNow (it is in your bank) or Cash.
Press Record the sale. The pack starts straight away and they are emailed that it is ready.
How a client uses it
On your booking page they sign in with the pack’s email, using the code we email them.
They pick a service and a time as usual. Under the summary they choose Use my pack, and there is nothing to pay.
You can also book a session for them: in Clients, press Book a session and pick the pack under Paid by.
If a client has more than one pack, the one that ends soonest is used first.
More time, bring it back, refund
- More time on a running pack: type the new last day.
- Bring it back on a pack that has ended: type a new last day, and its unused sessions come back.
- Refund unused works out the unused part and records the refund in your accounting. You pay them back yourself; nothing moves money for you.
All three are on the pack under Sold in Packages, and on the client’s page in Clients.
Your rules
At the bottom of Packages, under Rules:
- Free to cancel until: how many hours before a session a client may cancel and keep it on the pack.
- If they do not turn up: They lose that session or They get it back.
Press Save. You can change the outcome for one person from their page in Clients (see Clients). If you also run Fitness Studio, these are the same rules it uses.
What it does in your accounting
A pack sold is money for sessions you have not given yet, so it goes on your balance sheet as Paid in advance, not yet used, not straight into income. Each session then moves its share into income once it happens. A refund is recorded as its own line. You do nothing for any of it.
Questions
Does selling a pack count towards the 15 sales on the Free plan?
The sessions booked from it do: each one counts as a sale, including each week of a weekly slot.
Can a pack pay for a group session?
Yes. One session of the pack is one appointment, however many people are in it.
A client paid but never pressed that they paid. What do I do?
If the money is in your bank, press Money received on the purchase anyway. If it never came, press Cancel.
