Weekly slots

Your regulars want the same time every week: Tuesday, 8pm. A client asks, you check each week against your diary, and you book them all in one go. Each week uses one session of their pack.

How a client asks

  1. The client books one session and pays for it from their pack (Use my pack). A weekly slot is always paid from a pack.

  2. On the page of that booking they see Same time every week?, with how many sessions their pack has left. They pick how many more weeks and press Ask for this every week.

  3. Their first session is already booked. The other weeks wait for you, and they are told you will confirm by email.

What the client sees under their booking.

Check the weeks and book them

  1. A note on My day says a weekly slot request is waiting. Go to Weekly slots; the request is under Waiting for you. Press Check the weeks.

  2. Every week is listed and checked against your diary. A free week says Free in your diary and is ticked. A week with a problem, such as a day off or another booking, is flagged and left unticked.

  3. For a flagged week, use Move this week to to pick another day and time, and tick it. Or leave it unticked to skip that week.

  4. Press Book the ticked weeks. Each week is booked from their pack, and they are emailed the dates. If one could not be booked after all, you are told which and why.

Each week checked against your diary before anything is booked.

Cannot take them on? Press Say no and add a reason if you like. Their first session stays booked. Later closes it without deciding.

Start one yourself

  1. In Clients, open the client. Next to a coming session paid from their pack, press Every week.

  2. Or book a new session with Book a session, paid from their pack; you are asked whether to keep this time every week.

  3. Either way you land on Weekly slots to check the weeks and book them, exactly as above.

Stop a weekly slot

  1. Go to Weekly slots. Running slots are under Running.

  2. Press Stop and confirm. Every week still to come is cancelled and goes back on their pack, and they are emailed.

To move or cancel one week only, open that session from My day or the calendar and change it as you would any booking. See Take and manage bookings.

Questions

Why can a client not see “Same time every week?”

A weekly slot is paid from a pack. If they paid for the session on its own, or their pack has nothing left after this session, they are told to buy a pack first. An open class cannot repeat this way; it is already weekly.

How many weeks can they ask for?

As many as their pack has sessions left for, up to a year.

Does each week count on the Free plan?

Yes. Each week is its own booking, so each counts as one of the 15 sales a month.
