Stock takes

Count what is really on the shelf at one location. When you finish, what you counted replaces what SME AI Office thought was there. Only the items you counted change.

Start a stock take

  1. Go to Stock takes and press Start a stock take.

  2. Choose Which location are you counting? To count one shelf at a time, fill in Only one category? (optional). Leave it empty to count every item that tracks stock there.

  3. Add a Note (optional), such as end of month count, and press Start counting.

Count

  1. Every item is listed with On the shelf now. Type what you count in Counted. Press Enter to jump to the next line.

  2. Or scan a barcode into Scan a barcode. The line lights up and is ready for its number.

  3. Each count saves as you type, and Difference shows how far out it is. Use Not counted and Different to see only those lines.

    Three lines counted: one matches, one is short, one is over.

You can keep selling while you count. The difference is measured against the stock at the moment you finish, so a sale during the count is not treated as missing. Leave a line empty if you did not count it.

Finish

  1. Press Finish. You are told how many items will change, how many go down and up, and how many were not counted and stay as they are.

    Check the summary before you finish.
  2. The counted items are set to what you counted. Stock that is missing moves into cost of sales; stock that turned up goes back into stock. Here, 3 missing stems at S$1.80 and 2 extra foam blocks at S$1.10 take S$3.20 off your stock.

Changed your mind before finishing? Press Throw away. Nothing on the shelf changes and the counts are not used.

Questions

I started one and did not finish.

It stays In progress in the list. Open it and carry on, or throw it away.

Can I undo a finished stock take?

Not from the stock take. If a count was wrong, put the item right with Adjust stock.
