Custom Fitness Studio · Done for you

Four studios.
One system.

For fitness brands that have outgrown one room. Members book any class at any studio on one pass. Freelance instructors are paid per class without a spreadsheet. Each studio manager runs their own floor, and head office sees every studio side by side.

KIN is made up. It is our example studio, scaled up here into a group of four. Its website is a working demo you can click through; the back-room screens below are drawn with made-up members, instructors and numbers.

Why build it

One studio runs on an app. A group runs on spreadsheets.

01

Every studio does it its own way

One studio lets a late cancel slide, another charges it. A member's pack works here but not there. The front desk at each place keeps its own list. The brand feels like four businesses sharing a logo.

02

Instructors are the biggest cost

Freelancers on different rates for different classes, bonuses for full rooms, covers arranged in a group chat at 6am. Someone spends two days a month adding it all up, and still gets asked "why is my pay short?"

03

Head office sees it last

Which studio is filling, which time slot is empty, how much of the money in the bank is classes not yet taught, who has quietly stopped coming. You find out at month end, from four exports stitched together.

What's inside

01 — One website, every studio

Any class. Any studio. One tap.

Your brand's own website, not a booking page with your logo on it. Members see every studio's timetable in one place, filter by where and what, buy a pack, and book in a tap.

Runs todayThe website, timetable, packs, passes, waitlist and member page, for one studio.
Built for your groupEvery studio on one timetable, with the studio filter and each studio's rooms.

Drawn with made-up data

The whole group, one timetable

  • Filter by studio and class type, or pick "near me" and see the closest first.
  • Spots left on every class, and a waitlist that books the member in by itself when someone cancels.
  • Each studio's own page with its rooms, directions, parking and its own instructors.
  • One brand everywhere: the same packs, prices and rules, in your own look.

The member's own page

Classes left, wherever they go

Every member signs in with a code by email, no password. They see their pack or pass, the classes left and when it runs out, their bookings at every studio, and a door pass to scan in.

They cancel themselves, and the rule is the same at every studio: early enough and the class goes back on the pack; too late and it is used.

02 — Memberships that travel

Home studio, or all four.

Members move house, change office, travel for work. Their pass should go with them, and the rules should be the same at every front desk, so nobody argues about a late cancel.

Runs todayPacks, passes, the late-cancel rule and money received in advance, for one studio.

Companies pay for their staff

  • One invoice a month to the company, while each employee books like any member.
  • Their HR adds and removes people from a simple page, no emails to your desk.
  • Usage per studio, so you can show the client what they got and renew the deal.
  • Your rules: classes a month, which studios, which class types, peak or off-peak.
A phone lying on the footbar of a reformer, grip socks hanging beside it.

One set of rules

Travel, freeze, hand it over

  • Home-studio or all-studio passes, priced differently, and the timetable only offers what the pass allows.
  • Credits usable anywhere: a reformer class at Mont Kiara and a spin at Damansara come off the same pack.
  • Freezes for travel, injury or pregnancy, with the end date pushed out by itself.
  • Transfers of unused classes to a friend or family member, if you allow it.
  • Late-cancel and no-show fees applied the same way everywhere, with no front-desk discretion.
  • Paid but not yet used kept apart in the books until each class is taught, whichever studio teaches it.

03 — Instructors

Sick at 6am? Covered by 6:15.

Your instructors are the brand, and the biggest cost. Freelancers and full-timers, different rates for different classes, covers at short notice. All of it runs on one system, and everyone can see their own pay.

Drawn with made-up data

Pay per class, added up for you

  • Rates by class type and by instructor: a senior reformer teacher earns more than a new one.
  • A bonus by headcount, so a full room pays better, on the rule you set.
  • Cover requests go to every instructor qualified for that class at that studio. First to accept takes it, the timetable and members are updated, and the pay follows the person who taught.
  • A monthly statement for each freelancer, made from the class registers, paid by bank transfer.
  • Certification reminders before a first-aid or teaching certificate runs out, and no class assigned to someone whose has.

04 — Studio managers

Their floor. Your whole map.

Each studio manager sees and runs only their own studio. The front desk checks people in. Head office sees all four side by side, and nobody sees pay or numbers they shouldn't.

Runs todayCheck-in, the class register, waitlists and staff seats with their own permissions.
Built for your groupA manager's view per studio, and head office's view of all of them.

Drawn with made-up data

A studio manager's day on one screen

  • Today's classes with how full each is, the waitlist and who is teaching.
  • Front-desk check-in on a tablet by the door, or members scan their own pass.
  • No-shows and late cancels marked from the register, with the fee applied by the group's rule.
  • Leads and trials to follow up, with the member's history one tap away.
  • Only their studio: they cannot see another studio's members, or anyone's pay.

05 — The numbers

Know what each class earns.

Not four exports stitched together at month end. The group's numbers, live, from the same bookings, registers and pay that run the day.

Runs todayThe books, and packs paid but not yet used, for one studio.
Built for your groupEvery figure split by studio, by slot and by class, with members at risk.

Drawn with made-up data

The group, studio by studio

  • Revenue per studio, counted when a class is taught, not when the pack was bought.
  • Packs sold but not yet used: the money you have received for classes you still owe, for the whole group and each studio.
  • Instructor cost per class, so you see what a class earns after the person teaching it is paid.
  • Fill rate by time slot, to move or cut the class nobody comes to.
  • Members at risk: regulars who have not booked in three weeks, ready for a nudge.
  • The books themselves: profit and loss per studio, already joined up.

06 — Keeping members

The 100th class deserves a moment.

A new member costs far more to win than an old one costs to keep. So the system notices the things a good front desk would: a milestone, a friend brought along, a regular gone quiet.

Runs todayCustomer reviews, and a reminder before a pass runs out.
Built for your groupReferrals, milestone rewards, win-back offers and reviews per studio.

Programmes that run themselves

  • Refer a friend: the friend gets a first-timer price, the member earns a class when the friend buys.
  • Milestones: 10th, 50th, 100th class, with a reward you choose, and the instructor told so they can say well done.
  • Win-back: a member who has not booked in three weeks gets an offer, and the studio manager sees who came back.
  • Reviews per studio, asked for after a class, so each studio's page shows its own.
  • Birthday class, pack-ending reminders and a renew button in the same message.

Bigger builds · priced separately

When the brand outgrows the city.

Some groups need more than the website and the back room. These are bigger builds, scoped with you: what you need, how many studios, what you use today. We quote each one on its own and never promise a date before we have looked.

App

Your own member app

An app in your name in the App Store and Google Play: timetable, booking, door pass and reminders, from the same bookings as the website.

  • Your logo and colours
  • Notifications for waitlist spots and covers
  • Same member sign-in as the website
Franchise

Franchise studios

Studios run by franchisees under your brand, each with its own books, and a royalty statement worked out from its sales every month.

  • Each franchisee sees only their studio
  • Royalties and brand fees by your agreement
  • Group-wide passes settled between studios
Doors

Door access tied to bookings

The door opens for members booked into the next class, and for staff on shift. Nobody walks in on a pass that has run out.

  • Opens only near class time
  • Check-in marked by itself at the door
  • Works with the lock you choose together with us

Questions

Asked often.

Is KIN a real studio group?

No. KIN and its four studios are made up to show what we build, and every screen on this page is drawn with made-up members, instructors and numbers. KIN's website is a working demo you can click through: nothing is booked, charged or sent.

Is all of this already built?

Part of it runs today in SME AI Office for one studio: the booking website, class packs and passes, the waitlist, check-in at the door, money received in advance kept apart in the books, and the bookkeeping. The group pieces (several studios, instructor pay per class, cover requests, the studio manager and head office views) are built around how your studios work, and we agree them with you in writing before we start.

We have one studio now. Is this for us?

Probably not yet. Fitness Studio on Pro 365 on its own may be enough: timetable, packs, passes, waitlist, check-in and your own website, from RM49 a month. When you open a second studio, everything moves across as it is.

Can our members move over from our current booking app?

Yes. We move your members, the packs and passes they hold, their balances and their upcoming bookings for you, and we switch over on a quiet day so nobody loses a class.

Can freelance instructors see their own pay?

Yes. Each instructor signs in to their own page with the classes they taught, the rate for each, any headcount bonus and their monthly statement. They see only their own, and they can pick up cover classes there too.

What does it cost?

From RM199 a month for the first studio and RM100 a month for each extra studio, with Pro 365 included. No build fee. The first year is committed, it renews at the same price, and after that you can leave with one month's notice. Bigger builds, like your own app in the app stores, are priced separately.

Who owns the member data?

You do. Your members, bookings, packs and books are yours, and if you ever leave you take all of it with you.

How fast do you respond?

A person answers from 10am to 10pm every day: within an hour for anything we can fix remotely, and within 2 to 4 hours when someone needs to come to the studio.
