How Personal Trainers in Singapore Can Sell Session Packs and Get Paid by PayNow
Most personal trainers in Singapore start the same way. A client WhatsApps to book, pays by PayNow, sends a screenshot, and you write "Jason, 7 left" in your notes app. It works for five clients. By fifteen, you are scrolling chats to find who paid, who has sessions left, and whether Tuesday 7am is really free.
This guide walks through a simpler set-up: one booking page, packs that count themselves down, PayNow with the amount already filled in, and accounts that show what you actually earned. It uses SME AI Office's Personal Coach as the example because it is free for one trainer, but the steps apply whatever you use.
1. Put your prices and packs in one place
Most trainers sell three things: a trial or single session, a pack of sessions, and sometimes a monthly arrangement. Write them down with an expiry, because a pack with no end date tends to linger for a year:
- Single session: S$90
- 10 sessions, to use within 90 days: S$800
- 20 sessions, to use within 180 days: S$1,500
Put these on one page clients can open from your Instagram bio, with a Book button on it. In Personal Coach, that page is your own website at smeaio.com/s/your-name, in a White or Black look, with services, packs, an About page and a blog.
2. Let clients pick only times you are really free
The back-and-forth of "are you free Thursday?" is where most of the admin time goes. A booking page should offer only the times that are truly open. Connect your Google Calendar so personal plans close those slots, and set the places you train. If you go between two gyms or to clients' homes, keep travel time free between sessions so nobody books you into a session you cannot reach.
For regulars who want the same time every week, let them ask for a weekly slot. You check each week against your diary, move any that clash, and approve them in one go. Nothing should book itself without you seeing it.
3. Take PayNow or card, with the amount already filled in
A plain PayNow number invites mistakes: the wrong amount, no reference, a screenshot of someone else's transfer. A PayNow QR that already carries the amount and a booking reference fixes most of that. The client scans, the amount is set, and you can match the payment to the booking at a glance.
There are three ways to get paid and confirm the money:
- Your own PayNow QR, and you tap Confirm. No fee. Check your bank and confirm; fine for a handful of payments a week.
- Your own PayNow QR, confirmed for you. Link an Aspire business account and payments into it are matched to the booking by themselves, free on every SME AI Office plan.
- Card or PayNow through HitPay. Connect your own HitPay account and clients can pay by credit or debit card, or by PayNow on HitPay's page, and the booking confirms itself. HitPay charges its own fee on each payment; SME AI Office adds nothing on top.
4. Let each booking use one session of the pack
Once a client has a pack, every booking should use one session, and both of you should be able to see how many are left. If a client has two packs, the one that ends soonest should be used first. The client signs in to see their bookings and sessions left, so "how many do I have?" stops being a WhatsApp question.
5. Count pack money as earned only when you train
This is the part most trainers get wrong, and it matters when you look at your month. When a client pays S$800 for 10 sessions, you have not earned S$800 yet. You have been paid in advance for work still to do.
Worked through:
- Day 1: the client pays S$800. Your bank goes up by S$800, but your income for the month is S$0; S$800 is held as paid in advance.
- Week 2: four sessions done. S$320 (4 × S$80) has moved into income. S$480 is still held for the six sessions left.
- If the pack expires with sessions unused, the rest moves into income on the expiry date.
Your profit and loss then shows what you really earned each month, not just what landed in your bank. In Personal Coach this happens by itself as you mark sessions done; it is on the Free plan.
Which software should you use?
It depends on how you train. If clients book in-person sessions, buy packs and pay by PayNow, a booking tool with packs and Singapore payments is what you need. If you coach online with workout programs, an exercise library and a client app, tools like Trainerize, TrueCoach or Everfit do that job, and SME AI Office does not. If you only need a link for people to pick a time, Calendly or Setmore may be enough.

Questions
How much should a personal trainer in Singapore charge for a 10-session pack?
Trainers set their own prices, so there is no single answer. Most price a pack below the cost of the same number of single sessions and give it an expiry, such as 90 days, so sessions do not linger for a year.
Is pack money income when the client pays?
Not in your profit and loss. Money paid in advance for sessions not yet given is held as paid in advance, and moves into income as each session is done. If the pack expires with sessions unused, the rest moves into income then.
Can clients pay a personal trainer by PayNow without sending screenshots?
Yes. A PayNow QR with the amount and booking reference filled in lets you match each payment at a glance. If you link an Aspire business account to SME AI Office, PayNow payments confirm themselves, free on every plan. Or connect your own HitPay account: clients pay by PayNow or card on HitPay's page and the booking confirms itself, at HitPay's own fee.
Is there free booking software for personal trainers in Singapore?
Yes. SME AI Office Personal Coach is free for one trainer: a booking website, session packs, weekly slots and PayNow, with no card, no monthly fee and no cap on bookings.
We may earn a referral fee from partners we link to, such as HitPay. It costs you nothing.
